How Custom Segments work in Qualee

This article is intended for both new and existing Qualee clients.

What is a Smart Custom Segment?

A Smart Custom Segment is an optional and dynamic grouping capability that allows your organization to effortlessly merge multiple other segments into one unified group that updates automatically - whether you're restructuring, or transferring employees to a new segment or onboarding fresh talent onto the platform.

Tailored and dynamic groups can be created whether by region, function, or any unique criteria you require. Employees are seamlessly added to larger groups, with their specific segments like location, department, team, gender, age, or tenure automatically linked, ensuring efficient and intelligent organization. This ensures compliance with local data protection and employment laws, enhances data security by limiting access to authorized personnel, and provides admin or region-specific levels of access.

How to create a Smart Custom Segment

  1. Log in to the Qualee console as an Admin or Manager

  2. Navigate to Advanced > Employee Segments > Custom

  3. Click on Create new and add an employee or a segment accordingly.

Note:

You may include individuals and or segment together in each Smart Custom Segment with the option to exclude certain individuals.

Whenever a segment is linked to a Smart Custom Segment, may it be a location, gender, department, team, age, or phase, every additional employees added to those segments are automatically linked to the Smart Custom Segment it was added to.

Alternatively, you may also add individual employees to a Smart Custom Segment via the following method:

Via Employee Record

  • In the employee list view, select an employee.
    Navigate to the "Custom" field and pick a Custom segment in the drop-down options provided.

Via Employee Table view (Bulk assignment)

  • In the Employee list page, select all employees using the checkbox
    In the upper right, click on Actions > Assign Custom Segment to Selected Employees
    ​


Assigning Smart Custom Segment to an Administrator or Manager

To assign a Smart Custom Segment to an Administrator and/or Manager:

  • Navigate to User Access > Custom configuration

  • Select either Admin or Manager tab

  • Locate the Administrator / Manager you'd like to grant access to

  • Click on the ellipsis and select Assign custom segment

Smart Custom Segments assigned to an Administrator and/or Manager provides additional access grant to a certain group of people within your organization. This allows for a controlled and simplified employee management across your Qualee environment.

Important note:

Smart Custom Segments assigned to an Administrator and/or Manager may be overwritten using the "Employee access" configuration in Qualee, meaning that if a member of the Smart Custom Segment is added in the excluded list of people via Employee access of an administrator and/or Manager, that excluded person will be inaccessible by the Administrator.


Inviting a Smart Custom Segment in an Active Journey

Qualee made it simple for administrators to manage and automate Journeys enrollment to minimize manual effort of managing Journey invitees.

Once you've invited a Smart Custom Segment in an active Journey, any employees who belong to the segments linked to that Smart Custom Segment will be invited to a Journey selected, including new employees added in the platform whose segments are linked to the tailored Smart Custom Segment.

To invite a Smart Custom Segment in an Active Journey

  • Navigate to Tools > Journeys

  • Locate the Journey you'd like to use

  • Click on the Journey ellipsis and select Invite

  • In the guests field, type and look up for the Smart Custom Segment name you'd like to invite and click save.

Some of the best sample use cases are:

  • Preboarding/Onboarding Journeys

  • Compliance Journeys

  • Scheduled Learning

  • Offboarding

  • etc.

All changes are applied in real-time. Administrator or Managers may be required to log out and log back in, or refresh their web browser to view the applied changes.
