Controlling content access in an Employee Experience platform is essential, especially when content is created by administrators from different locations, department, employee rank or with varying permission levels. For example, restricting access to sensitive content to only executives or the leadership team ensures that confidential information is kept within the right hands.
This control is critical for compliance purposes, as it helps organizations adhere to data privacy regulations by ensuring only authorized personnel can view or modify sensitive data. It also plays a key role in delegation, allowing organizations to assign content access based on roles and responsibilities, enhancing security, accountability, and operational efficiency.
Qualee allows Lead administrators and content owners to manage sharing permissions within your Qualee environment. Whether the content is a file, journey, survey, quiz, announcement, course, or initiative, content owners are equipped with tools to control who can collaborate, edit, or simply view the content they have created. This level of control ensures that content is shared with the right people, maintaining both security and efficiency in the management of sensitive or important materials.

To manage sharing permissions of content in Qualee:
Log in to the Qualee console as an Administrator (Lead or Standard) or Manager
Locate the content you created under Tools or Library
Click on the ellipsis of your content and click on Share
Input the names of the people you'd like to provide access to the content
Select the access type on the right hand side of the person's name
Viewer - View only access, no Edit capabilities
Editor - View, Edit and delete capabilities
Click Save to apply the settings

Tips:
For Journeys, individuals with "Viewer" access are allowed to send invitations to the people they have access to, but they cannot modify the Journey content.
By default, administrators and/or managers with access to employees invited to a Journey are allowed to view the Journey content.
This can be overridden through the Restrict Access field in the content’s share settings.
Restrict access may also be used to exclude certain segments or individuals when sharing access to a larger group i.e. Location, Department etc.
