How to customize employee access permissions for Qualee operators

This article is intended for both new and existing Qualee clients.

Controlling Employee Experience platform administrator access levels is crucial for both compliance and delegation. It ensures that sensitive employee data is only accessible to authorized personnel, helping organizations comply with data protection regulations like GDPR and HIPAA.

Proper access management also allows for efficient delegation by ensuring each team member has access only to the data they need, reducing errors and improving accountability. This balance of security and efficiency is essential for maintaining a compliant, well-functioning HR system.

Qualee allows you to fully customize, not only the type of access your Administrator and/or Managers, but also the people they have access to.

To customize an administrator an/or manager's employee access:

  1. Log in to the Qualee console as a Lead administrator

  2. Navigate to Advanced > User access > Custom configuration > Admin/Manager

  3. Locate the Standard Admin/Manager you'd wish to modify

  4. Click on the ellipsis next to the Admin/Manager's name and select Edit permissions
    ​

  5. Click on the Employee Access tab

  6. And include or exclude employees and/or segments accordingly
    ​

Note/s:

Excluded employees take precedence over included employees. For example, if you have excluded a segment called "Singapore" (location) and an employee named John Doe, who belongs to Singapore, is added to the "Include" field, John Doe will remain excluded for that administrator.

Sample preview of combinations:

Employee access overrides the default georestriction configuration in your Qualee environment and/or specific Administrator. This means that if Georestriction is set to limit administrators to accessing only employees within their designated location, adding an employee to their employee access tab will expand these limits, allowing access to additional employees.

Additional note/s:

Employee access inclusions and exclusions supersedes an assigned Smart Custom Segments.

For example:
A Smart Custom Segment called "APAC" is created and includes an employee named "John Doe"

  • The Smart Custom Segment "APAC" was assigned to "Administrator A" via Custom Segments assignment

  • In the Employee Access configuration of Administrator A, John Doe is listed in the "Excluded" list for Administrator A

Using the scenario above, despite John Doe being a part of a Smart Custom Segment called "APAC", John Doe remains inaccessible by Administrator A because John Doe is listed in the "Excluded" people via Employee access.

The same principle applies for Inclusion, using the same characters above, if John Doe is not a part of the Smart Custom Segment "APAC" assigned to Administrator A, by adding John Doe in the "Included" list, John Doe will become accessible by Administrator A
