How Email Notification Instructions work in Qualee

This article is designed for all Qualee clients.

When an employee Journey or Journey Sequence is created, certain steps may require specific individuals such as department leaders, the employee’s manager, or relevant external parties to be notified about the participant’s progress.

In some cases, these notifications prompt action once the participant reaches a specific milestone in their Journey. Examples include scheduling a meeting with the employee, preparing necessary documents, or completing other important tasks.

Whether you need to send an email notification simply to keep someone informed or to request them to take action, Qualee can deliver these notifications in a structured and timely manner.

Assigning the email notification(s)

To assign an email notification recipient:

  1. Log in to Qualee

  2. Navigate to the Journey list page and select a Journey to edit

  3. In the Journey Editor view , select a step where the email notification is required

  4. Check the Email notification box and input the relevant recipients for that step
    Note: The recipient field supports the following format
    a. Employee name text search e.g. John Doe
    b. Personalized tokens e.g. {manager.name}, {department} etc. *update link
    c. Segment value e.g. Singapore, Human Resources, Team Blue
    d. Email address e.g. [email protected]

  5. Click on Enter to save the recipient and add more if necessary

Hint: You may choose to enter multiple values per step email notification.

Adding Instructions to the email notification(s)

By default, a standard email notification goes out to the selected recipients notified, however there's an option to include any specific instructions, or next steps

To add an instruction to an email notification:

  1. In the Journey Editor view , select a step where the email notification is required

  2. After adding the recipients for the email notification, check the ''Add instructions'' box underneath the recipient field.

  3. Input any necessary instructions including links to any external information as required.

Hint: The added instruction text and link are inserted after the e sentence in the standard email notification template underneath the text "Please consider the following instructions".
