In Qualee, you can categorise or group content uploaded in your Qualee Library in a few simple steps.

You may group information and distribute it only to relevant groups/individuals depending on your company's preference or based on various parameters such as roles, department, function, rank, location, or any unique categorisation that may apply in your organsation's structure.

Whether you are uploading a file from your local storage i.e. employee handbook, policies, video recording, or an external link i.e. payroll portal, HCM link, external cloud storage, social media, map address, etc, you may categorise it to be only made available to a specific Content Profile, to which only specific people are associated with.

Creating/Editing/Deleting Content Profiles

  1. Go to Library

  2. Click Add found on the right side of the screen and choose either a file or link.
Note: at this point, you don't necessarily need to upload a file or a link yet

In the third row, Content Profile click on the + sign and input the name of your content profile then finalise it by clicking on the tick symbol.

Note: You may edit or delete an existing content profile, by selecting a content profile from the drop-down and then clicking on the edit or trash icon.

Assigning Content Profiles to Employees

You may assign single or multiple content profiles to each of your employees who have access to Qualee.

In the Advanced section, go to Employees

For existing Qualee users, select them by clicking on their names.

For new employees, create a new employee account manually or via .csv upload template.

Existing Employee

After selecting an employee, click on Content Profile, and choose all relevant content profiles you wish that employee to have an access to.

Click Save in the Content profile dialog box, then Save changes.

New Employee (Manually created)

On the employee creation page, click on Content Profile and choose all relevant content profiles you wish that employee to have an access to.

Click Save in the Content profile dialog box then click on Add employee.

New Employee (.csv bulk upload)

When creating Qualee users/employees in bulk, in the .csv file template, go to the Document Profile column, and type in the exact Content profile name value as created prior in the Library section at the beginning of this article:

Note: If the content profile name value in the.csv does not match the value of the content profile created in the Qualee console library, it will result in employees not having a content profile once their accounts are created or the .csv file upload action to not proceed.

Bulk Assign Content Profile via Employee Table Page

In the Employee Table Page view, select all relevant employees in a filtered or unfiltered view then click on the Action button in the upper right of the table and click on

Assign content profile/s to all selected employees.

A pop-up of all content profile would appear where you can choose all relevant content profile that you'd like to assign to the selected employee/s.

Click on Save.
