How system-generated passwords work in Qualee

This article is designed for both new and existing Qualee clients.

What is a system-generated password in Qualee and how does it work?

A system-generated password refers to exportable employee passwords that are automatically produced by the Qualee software when prompted by an Administrator.

Unlike the standard method of directly sending passwords to the employees via email upon employee Account creation or via App invitation, the system-generated password is exported in a CSV file and is directly sent to the Administrator's email address only.

Exporting system-generated passwords are helpful for Qualee Administrators who'd like to manage employee password distribution themselves, either offline or via a different communication channel.

How to export system-generated passwords

  • Login to the Qualee Console

  • Navigate to Advanced > Employees

  • Select all employees applicable for the system-generated password request

    โ€‹Tip: Apply filter "Last login" = "No" to exclude employees who have already received their passwords and have successfully logged in to Qualee.

Once the filtered or manual selection has been made, click on the Action button located at the upper right of the screen then select Receive system-generated passwords for selected employees

Next, check your inbox for an email containing a download link from [email protected] with subject line: Employee System Generated Passwords

Note: You can only download the passwords within a 10 minute period upon receiving this email. Should you miss to download the passwords in time, please repeat the process and to create another system-generated password email.

Please also note that all passwords generated are unique and each new request made will override all passwords generated in the prior requests, except for those who have already logged in.
