This article is designed for both new and existing Qualee clients.
One of the common challenges of companies implementing HR solutions includes employees who do not own an email address. Whether that be corporate or personal, it becomes crucial when implementing HR solutions because they are often used for implemented software communication, sending notifications, reminders, updates, and accessing the software itself.
Additionally, email addresses serve as unique identifiers for employee/users within the implemented system, allowing for personalized experiences and secure access control.
By default, Qualee recommends having an email address (personal or company email) when creating system access for the employees. However, we also offer an alternative method for user identification and/or creation especially for companies in industries where email addresses are not a common part of their daily routine.
Create employee access via Employee Identification Number
Whether they are numerical, alphabetical characters or a combination of both, this unique Employee ID can be used to create an alternative app login access for your employees.
To create an employee via Employee ID manually
Login to Qualee as an administrator
Navigate to Advanced > Employees
Click Add employees manually
Fill out all required fields except for the email address
Click Save to save record or Save and Invite to activate app invitation
Once app invitation is made, your administrators will receive an email notification of the created employees' app credentials and what's left for you to do now is coordinate the communication of it to your employee.
Note:
If you are creating an employee user in the Qualee system with both Email address and Employee ID present, the Email address supersedes the account creation therefore, the credential will be delivered via email. (default)
The same rule and mechanism applies when creating an employee via CSV template upload or integrations.
Password Resets via employee ID
By default, users created via email address, receives their password reset their own email address.
While for employee users created via employee ID receives their password reset differently.
Method 1: Password reset via Employee ID

Once employee attempts to reset their app password using their employee ID, similar to employee creation via employee ID, they will receive their new password through their administrators.
Method 2: Password reset via Whatsapp
Whether the user is created via manual or csv upload, as long as their phone number information is filled out including its country code in this format excluding the + sign they will receive their new password via Whatsapp, so long as a Whatsapp account exists.
