How Georestrictions and Custom Segments work in Qualee

This article is designed for both new and existing Qualee clients.

Georestriction in HR software is crucial specially for multinational companies as it ensures compliance with local data protection and employment laws, enhances data security by limiting access to authorized personnel, and provides region-specific content and functionalities.

This also supports efficient management by tailoring HR tasks and reporting to local needs, reduces complexity, and improves the user experience by delivering relevant information specific to each location.

Types of Administrators

First of all there are 2 types of administrator access in Qualee

  1. Master Admin

    1. NO restrictions can be applied

    2. Can modify Regular Admin permissions

    3. Can access all content & employee data

  2. Regular Admin - Restrictions can be applied

    1. Restrictions are configurable by the Master Admin

    2. Cannot modify a another Regular Admin's restriction settings

    3. Can only access content & employee data as configured by the Master Admin

How does Administrator Georestriction work in Qualee?

Qualee allows organizations to put control into what each Regular Administrator can access and modify depending on their location and restrictions.

  1. Restrict system-wide access by location

    1. Regular administrators are restricted to only view employee record who are in the same "Location" value as them.

  2. Restrict system-wide edit capabilities by location

    1. Regular administrators are restricted to only edit/modify employee record who are in the same "Location" value as them.

  3. Restrict system-wide delete capabilities by location

    1. Regular administrators are restricted to only delete employee record who are in the same "Location" value as them.

This restriction also applies when viewing/editing/deleting participating employees in the following action items below.

  • Journeys

  • Actions & Action Sequences

  • Courses

  • Initiatives

  • Carousel

  • Quizzes & Surveys report

Important note:
Regular Administrators are restricted to only view employee data and invite employees to participate in a task i.e. Journeys who are within their restrictions.


  1. Restrict access to authored content only

    1. Regular Administrators are restricted to only view content created by themselves.

  2. Restrict edit to authored content only

    1. Regular Administrators are restricted to only edit/modify content created by themselves.

  3. Restrict delete to authored content only

    1. Regular Administrators are restricted to only delete content created by themselves.

This restriction is applicable for the following content types.

  1. Tools (Journeys, Quizzes, Surveys, Forms, Courses, Initiatives & Carousel)

  2. Events

  3. Action sequences

  4. Engagement schedules

Important Note:
In the event where authored content are restricted to regular administrators, but an employee reporting to that Regular Administrator is invited to participate in the listed tools content types above by a Master admin, the Regular Administrator is then provided access to the Authored content created by any other administrators.

All georestriction options can work independently.


What is a Custom Segment?

A Custom segment in Qualee is an optional grouping option where Regular Administrator employee viewing/editing/deleting capabilities are extended beyond their Location restriction.

In other words, if a Regular admin is restricted system-wide view/edit/delete by location, a Custom Segment assigned to them provides them additional view/edit/delete access outside their Location.

There are 2 components in a Custom Segment

  1. A custom segment is a free text value that can be associated to each Employee, creating a custom grouping for selected employees.

  2. A custom segment is assignable to an Administrator or a Manager, providing each role an access to the employees who belong in the unique custom segment.

Assigning Custom Segment to an Employee

3 ways

  1. Via Employee Record Editor Page (Individual assignment)
    In the employee list view, select an employee.
    Navigate to the "Custom" field and pick a Custom segment in the drop-down options provided.

  2. Via Employee Table view (Bulk assignment)
    In the Employee list page, select all employees using the checkbox
    In the upper right, click on Actions > Assign Custom Segment to Selected Employees

  3. Via Segments page (Bulk assignment)
    In the Segments page, click on Custom
    Select a Segment Value
    Click on the ellipsis button > Manage employees


Assigning Custom Segment to an Administrator/Manager

  1. Regular Administrator
    Navigate to User Access > Admins
    Scroll down and look for the Administrator name then click on the ellipsis button and select Assign Custom Segment.

  2. Manager
    Navigate to User Access > Managers
    Scroll down and look for the Manager's name then click on the ellipsis button and select Assign Custom Segment.

In general, all changes are applied in real-time. Administrator or Managers may be required to log out and log back in, or refresh their web browser to view the changes.
